Travel Operations Specialist

The work of the Travel Operations Specialist requires teamwork, the exercise of a very strong service mindset, judgment, and personal responsibility. As a member of a highly professional procurement team, the incumbent is willing and able to perform a wide range of administrative and operational functions and tasks to help ensure programmatic success by supporting travelers, bookers or management teams with their questions, issues, escalations, or customer support queries.

The incumbent of this role has a high level of integrity and attention to detail to ensure the use of all travel systems and processes to maintain adequate and efficient travel management. Input for further system developments as well as monitoring and evaluation of travel data is a focus as well. This role is for someone with high flexibility and a willingness to work under conditions of ongoing change. She or he needs to remain professional and respectful of colleagues and travelers in a diverse and global workforce.

The successful candidate can prioritize and complete tasks without follow-up by the supervisor, while also filling in gaps as needed to ensure the team's responsiveness. The Travel Operations Specialist presents solutions, is a doer and is a positive role model in a service environment.

What you will be doing…

  • Manage various elements of the travel service model for the Randstad Group companies – service/booking platform and back-office operations, ensuring employees are able to book travel and claim expenses without glitches
  • Manage and assist with third-party provider queries (e.g., hotels, venues, airlines, travel agencies)
  • Manage payment operation questions (V-payment, credit cards, invoice payment)
  • Set up and maintain employee query management (Egencia platform), evaluating TMC efficiency on an ongoing basis
  • Resolve TMC problems and improve current booking methods to increase productivity and drive employee experience
  • Monitors service issues and complaints (escalations) to define patterns to reduce recurring issues
  • First point of contact for all VIP bookers on any TMC or third-party supplier issue or query
  • Manage profile system and HR data handover
  • As part of the global procurement team, you will also be involved in activities and projects outside of the travel administration activities to support your manager and procurement team members
  • Provide excellent customer service to ensure all standards are met and that issue resolution is carried out effectively, correctly, and thoroughly
  • Ensure service adheres to all regulations with regard to appropriate Tax and Vat, use of credit cards and other internal financial reporting regulations
  • Liaise with both internal departments and external partners in a productive and professional manner
  • Work closely with the wider procurement team to identify and recommend best-in-class suppliers and lead supplier negotiations at a local level
  • Maintain up-to-date and accurate records and cost reports
  • Achieve greatest value contribution, benefit realization and efficiency from all travel activities

What’s essential for you to have…

  • Fully fluent in English, knowledge of another European language would be of an advantage (preferred Dutch)
  • Highly organized and self-motivated
  • Mathematical and analytical approach
  • Excellent interpersonal, listening and communications skills
  • Ability to build and maintain strong professional relationships with internal and external contacts through open and confident communication
  • Intermediate Excel skills

What will make you stand out…

  • Prior experience as a travel administrator (although not required)
  • Previous experience in the travel industry or as a travel agent
  • Experience with the Egencia platform or similar TMC tools as well as V-payment and credit card solutions
  • Having worked in a multinational corporate environment or business service center
  • Been part of a global team
